 How We Work

We work in collaboration with you to improve your documents and online content.  In most cases, editing and proofreading assignments are done remotely.  We work together with you on a single project or handle all of your documentation and content development requirements.

 
Proofreading Proofreading is the beginning and final stage of the editing process, focusing on surface errors such as misspellings and mistakes in grammar, punctuation, and formatting. During proofreading, we evaluate the grammar and mechanics of your document.  We check the following and make corrections as required:

  • Clarity, continuity, and logic
  • Sentence  structure and symmetry
  • Voice, vocabulary, language, and appropriateness for the reader
  • Format
  • Correct grammar
  
  • Titles of tables and graphics
  • Spelling, punctuation, and other typos
  • Capitalizations and the use of bold, italic, and parenthesis
  • Use of numerals
  
  • Appropriateness of bullets and outlines
  • Abbreviations, acronyms, and jargon
  • Page numbers in table of contents

Copyediting 

Copyediting consists of checking documents to reveal and correct content and style errors. Copyediting ensures consistency of style throughout the document and clears up confusing and awkward writing. During copyediting, we check for comprehension and readability, including sentence and paragraph structure.  We focus on “readability” and the reviewer’s “reading experience”.  Is the document an easy read or too difficult to read while sipping a latte at Starbucks? (A bit of humor, perhaps, but it is the reality for many people reviewing your work while on the go these days.)

  • Do the opening sentence and paragraph get the reader’s attention and set the stage for what is to follow?
  • Is each sentence clear?
  • Are the links between ideas clear, logical, and smooth?
  • Does the closing paragraph summarize what comes before it?
  • Would shifts in organization help?
  
  • Is the point of each paragraph clear and relevant?  Is there a topic sentence (preferable at the beginning or end) to guide the reader?
  • Is the language clear, specific, correct, and understandable?
  • Have all of the problems detected in Level 1 been corrected?
  • Does the document leave the reader with a positive impression of the writer?

Reconstructive Writing Services 

At this level, we check content, organization, and style in a problem document to determine whether the document must be reorganized or completely rewritten to meet the reader’s need.  Working in collaboration with you, we either rewrite the entire document or make recommendations for you to improve it.  Reconstructive service is usually prompted by at least one of the following scenarios:

  • A manager returns a document to you with strong instructions to rewrite it 
  • Readers “just don’t get it”
  • A document does not comply with preferred style guides
  • A determination is made by us that proofreading and editing cannot be adequately performed without a reorganization or rewrite
